Guest accommodation terms and conditions
The terms and conditions covering your stay in our guest accommodation.
Please read these Terms and Conditions (“Agreement”, “Terms and Conditions”) carefully before using The Plough Motel (“us”, “we”, or “our”). This Agreement sets forth the legally binding terms and conditions for your stay at The Plough Motel.
Fees – The amount payable for the Room. May also be referred to as Rent or Payment, the use of these words does not constitute a tenancy agreement.
Room – The location of your stay
Payment Date – The date in which long stay bookings fees are due. This is in advance of the coming period.
Deposit – Deposit or Damage deposit is a nominal amount held on account for the duration of your stay.
Late Fee – The amount charged for late payment of room fees.
Reservations:
Your reservation will be confirmed by The Plough Motel via an e-mail after the initial booking has been taken and a booking deposit has been supplied to secure the booking.
Discounted Nightly Rate:
The Plough Motel offers a discounted nightly rate for guests who are looking to stay long term.
The discounted rate applies for guest staying for a minimum of 3 months
Discounted Nightly Rate and Early Check Out:
If you choose to check out within a 30-day period/a month, you agree to forfeit the remaining month’s room fee.
For example: if you agree a 90-day stay and choose to check out on day 67, you will not be entitled to a refund
If you leave within the 90-day/3-month period, you will forfeit your deposit.
If you wish to check out you must give 30 days notice. If notice is not given, you will to forfeit your deposit.
Utilities
Utilities are included in the nightly rate but a fair usage policy applies.
If You Need To Cancel Your Initial Booking:
If your travel plans change and you no longer require your current reservation, we do need 7 days cancellation notice prior to the day of your arrival in order to avoid a late cancellation fee. This applies before you check-in, once checked-in the early check out policy applies.
We can be contacted by e-mail as we do require your cancellation in writing. If your cancellation falls outside of our cancellation policy, there will be a cancellation fee of one night’s accommodation deducted from your booking deposit.
If you have arranged a group reservation, please refer to our original reservation and cancellation policy on your e-mail confirmation.
White Goods:
Every room is furnished with a microwave and a fridge. These remain the property of the Plough Motel. Any loss or damage will be deducted from your damage deposit upon vacating the room.
Payment Details:
For advance bookings, full payment is due 7 days before arrival and in the event you depart leaving an outstanding balance on your account we will use the deposit we hold for you to settle the account. If the settlement is more than the deposit held, we will pursue you for the balance outstanding. Our maximum length of stay at any one time is 90 days, if you are staying longer than a month, you can break the payment due into equal monthly instalments, each payable on the 25th of each month in advance of your stay.
Payment Of Account:
Accounts can be settled with transfers to our nominated bank account. We do not accept debit cards, credit cards, cheques or cash.
Check In / Check Out Times:
Our check in time is 3 pm, though if we agree in advance we can also make other arrangements that are mutually convenient. Check out is 10:30 am – again if you contact us in advance we can try to arrange a later check out time for you.
Car Parking:
Our car park is located next to the accommodation blocks and can be accessed via the main entrance. We allocate a single car parking space per room, if you require a parking space, please let us know by providing the vehicle registration. Additional parking is available on a first come first serve basis and charged at a daily rate. We are not liable for any damage to your vehicle whilst using our car park. The property is monitored by a 3rd party Parking Enforcement company. An ANPR system records all vehicles entering the property and if not registered, the vehicle keeper is sent a Parking Notice. Parking details are posted on signs around the car park. To avoid any unnecessary charges or fines, please ensure you (or your guests / visitors) have emailed any updated vehicle registration details at least 24 hours before arrival.
Smoking & Drug use:
It is illegal to smoke inside our motel. If you have smoked in your motel room, a fee will be charged. This fee is the cost of one night’s stay and a £100.00 cleaning fee. If there is an outstanding balance, we will pursue you for the remainder. The use of Illegal drugs is illegal & prohibited at the Plough Motel. Use of illegal drugs will result in the immediate termination of agreements.
Quiet Hours
Quiet hours are between 9pm & 6am, loud music, TV’s or anything else that creates a nuisance to others is permitted during these times.
Damages:
We reserve the right to charge individual guests the cost of rectifying damage which has been caused by the negligent acts of guests to the motel’s property. If such damage is discovered during the stay, it will be drawn to the guest’s attention but if discovered after guests have departed, we reserve the right to withhold the deposit and pursue the guest for the outstanding amount. We will however, make every effort to rectify any damage internally prior to contracting specialists to make the repairs, and therefore, will make every effort to keep any costs that guests would incur to a minimum. To this effect, we charge a nominal damage deposit – this is promptly returned after departure and after the room has been inspected.
Return of Deposit:
We reserve the right to deduct any damages or any overstay from the deposit. Deposits will be returned after any damages or overstays have been calculated.
Termination
Where (including but not limited to) damage, antisocial behaviour, violence is involved we reserve the right to terminate any stay with immediate effect. We reserve the right to terminate any agreement without notice. We reserve the right to terminate to terminate agreements with immediate effect where payment has not been made on time including any charges whether formally demanded or not.
Long Stays
For long stays once the initial term on the agreement expires it will revert to a rolling monthly agreement (if not terminated beforehand) until terminated in writing by either party.
Late Payments & Overstays
– A 25% room rate charge will apply to any room (amount dependent on rate) that is seen to be paying late without a minimum notice of 7 days prior to your payment date, this does not mean that the late payment will be accepted but is subject to conversation. If the office deem it unacceptable the 25% charge will be automatically charged and you will be given a timescale to bring payment up to date.
If payment is not received on the due date or agreed date; A 48 hour notice will be issued to settle all arrears or risk the termination of the agreement.
If you overstay your agreed term or do not pay for the month ahead you agree to pay a daily room charge of £45.00.
Please note if you have a vehicle & we do not receive your payment on time, you vehicle registration may be removed from the parking system which may result in you receiving parking charge notices which we cannot remove or credit.
We reserve the right to charge you for the cost of changing the locks on the room if you; do not return the keys and/or do not vacate the room by the date given when asked to leave.
Lost Property:
Please contact us via email in the event that you may have left an item with us – a postal fee will be charged in the event an item is requested to be mailed back. If any property is left behind after a stay will be placed into storage if not collected within 24 hours. If the item/s are placed in storage a fee of £50.00 will be payable before the item/s can be collected. If the item/s are not collect within 14 days we reserve the right to dispose of them accordingly. We accept no responsibility for damage or loss to the property/items whilst in storage or being transferred into storage.
Room Access (Inc. for maintenance reasons)
We reserve the right to access any room for any reasonable reason. Where possible this will be done during the day unless the reason for accessing the room is urgent (such as for leaks etc).

Room Reallocations
During your stay we reserve the right to move you to another room where the needs of the hotel demand. You are not allocated a room for the length of your stay.
Ovens, Naked Flame Cooking Equipment & other cooking items.
These are not allowed for a number of reasons including insurance & fire regulations. If we discover these on site we reserve the right to remove them without your consent and place them in storage. We are not liable for any damages or loss whilst being moved into storage and whilst in storage. We reserve the right to purse you for any damages caused by the use of these items, which you consent to as part of this agreement. We also reserve the right to charge you for the estimated energy usage.
Pets In The Hotel
Pets may be allowed on individual circumstance and will be up to the managers discretion. Pets must be a suitable size for the room.
If pets are allowed there will be an additional £50 charge per month to the room rate.
Pets will not be allowed to be left alone in the room and will need to remain with the guest at all times within the motel.
Where necessary pets must be on a lead when in communal areas of the motel.
All pets must not cause disruption to other guests.
There should no mess or faeces left. It must be cleaned with immediate effect.
All pets must be insured and up to date with treatment e.g. flea and worms.
Any damage caused by permitted pets will be subject to further chargers or deductions from the deposit.
Visiting Hours
Visitors are only allowed between the hours of 06:00 & 21:00 guests should ensure all visitors depart before 21:00 & do no arrive before 06:00.
Named & Unnamed Guests
No one other than the named guests are allowed to stay, if unauthorized guests are found to be staying then you will be charged £50.00 plus the standard Room rate of £45.00 per night for every night they have stayed.
Internet Access Acceptable internet use policy
Where available, the use of the internet provided by The Plough Motel is permitted and free to guests. We have the right to revoke the use of our internet facility for any user, at any time, for any reason.
Users of The Plough Motel internet must ensure that they:

comply with current legislation

use the internet in an acceptable way

do not create unnecessary business risk to the company by your misuse of the internet
Unacceptable behavior
In particular the following is deemed unacceptable use or behavior by guests:

visiting internet sites that contain obscene, hateful, or otherwise illegal material

using the computer to perpetrate any form of fraud, or software, film or music piracy
-
using the internet to send offensive or harassing material to other users
-
downloading commercial software or any copyrighted materials belonging to third
parties, unless this download is covered or permitted under a commercial agreement
or other such licence
-
hacking into unauthorised areas
-
publishing defamatory and/or knowingly false material about The Plough Motel
-
revealing confidential information about The Plough Motel in a personal online
posting, upload or transmission – including financial information and information
relating to our customers, business plans, policies, staff and/or internal discussions

undertaking deliberate activities that waste staff effort or networked resources
-
introducing any form of malicious software into the corporate network
-
Sharing the Wi-Fi codes with other guests or people not associated with The Plough
Motel.

Using the Wi-Fi or internet for cryptocurrency mining.

Use of illegal drugs
Company-owned information held on third-party websites
If you produce, collect and/or process business-related information in the course of your stay, the information remains the property of The Plough Motel. This includes such information stored on third-party websites such as webmail service providers and social networking sites, such as Facebook and LinkedIn.
Monitoring
All of the company’s internet-related resources are provided for general use purposes. Therefore, the company maintains the right to monitor the volume of internet and network traffic, together with the internet sites visited. The specific content of any transactions will not be monitored unless there is a suspicion of improper use.
TV and TV Licence
A TV will not be supplied in the rooms for our long stay guests. Guests may bring their own TV and use the wi-fi if needed. A TV licence is not required as this is covered by The Plough Motel.
Housing Benefit
No benefits for housing or other payments will be accepted. No tenancy or tenancy rights are implied or accepted.
Governing Law
This Agreement (and any further rules, polices, or guidelines incorporated by reference) shall be governed and construed in accordance with the laws of United Kingdom, without giving effect to any principles of conflicts of law.
Rights of Third Parties
This agreement does not confer any rights on any person or party (other than the parties to this agreement and, where applicable, their successors and permitted assigns) pursuant to the Contracts (Rights of Third Parties)
Changes To This Agreement
We reserve the right, at our sole discretion, to modify or replace these Terms and Conditions by posting the updated terms on our website or via email to any current guests. Your continued use of the motel after any such changes constitutes your acceptance of the new Terms and Conditions.
